Roles & Responsibilities:
 
The Secretary provides administrative support services for one or more individuals, a department or a
division. Assists supervisor in routine personnel and other operational details.
 
 
  • Serves as an intermediary between supervisor and other departmental staff by transmitting written and oral requests, messages and instructions.
  • Maintains departmental employee files, and ensures compliance with regulatory standards. Initiates and follows through on human resources and payroll transactions. Generates weekly payroll submission. Maintains liaison with human resources and payroll to coordinate and resolve issues and problems.
  • Screen and prioritize incoming mail for needed action and follow up. Responds to mail where appropriate or distributes mail requiring attention to appropriate individual(s).
  • Screen telephone calls, answer inquiries or direct caller to the appropriate individual for further information and/or resolution.
  • Track expiration dates of staff’s professional licensure, and notify staff of upcoming license expiration date to prevent suspension.
  • Input department schedules in the time and attendance system
  • Makes telephone calls to obtain additional staff as necessary.
  • Records absence from duty of nursing personnel and reports information to appropriate unit.
  • Records unit census on daily staffing sheets.
  • Handles confidential disciplinary documentation.
  • Performs other related duties

 

Requirements:

 
Education:
High School graduate.
 
Experience:
Two years clerical experience preferably in health care
