Support Services Manager

Job Description

Coordinate all purchasing activities. Process TEM expenses ensuring all reimbursements are paid timely, accurately and in compliance with policies, procedures and union negotiated contracts and are within budget constraints. Supervise Transporter.

Duties and Responsibilities   

-Responsible for reviewing purchase requisitions, securing approvals, locating and approving new vendors, billing and follow up on deliveries.      

-Coordinate all TEM expenditures.  Determine eligibility and verify all expenditures are properly supported and in conformity with guidelines and are approved in accordance with financial memoranda.

-Educate internal staff with correct business practices, company TEM and purchasing guidelines and answer all miscellaneous questions on purchasing procedures, expense reimbursement and all Support Services forms.

-Develop and maintain appropriate tracking tools to monitor TEM and purchases, not allowing unapproved overspending. Prepare monthly reports for Directors of Service informing them of actual expenditures versus budgeted amounts.

-Supervise transporter, setting priorities regarding transport and delivery of medical specimens, employee pharmacy prescriptions, checks, correspondence, films and patient records and any other mail requiring special handling.  Perform job evaluations, assign work to and set deadlines as appropriate.

-Must have HS/GED; specialized training; degree and discipline or bachelor’s degree.

-Must have 1 year in research environment

-Must have basic levels for Outlook, Word and Excel.
-Must be well organized.
-Must know how to use a calculator.

-Must have 3-5 years progressive purchasing experience

-Must provide program and skill level, e.g. MS Word - Basic (skill levels are Basic, Intermediate, Advanced)

-Intermediate knowledge of database management software (e.g., Visual Fox Pro, Access)

-Excellent written and oral communication skills.
