Roles & Responsibilities:

The Program Coordinator II is responsible for providing administrative, operational, financial and programmatic support services to the Office of Research Services as part of ConduITS, the Clinical and Translational Science Award program with the Institutes for Translational Sciences.


This is an exciting opportunity to join the ISMMS Office of Research Services (ORS). The ORS provides central navigation, facilitation and consultation services to the research community of the Mount Sinai Health System. Candidates for the position of ORS Program Coordinator II will have a general knowledge of clinical trials and grants management, regulatory knowledge and strong communications and organizational skills. The role provides project specific support to the ORS Research Project Managers and Director in addition to coordination of daily, ongoing activities of the ORS. Successful candidates will be detail oriented and adapt easily to new policies and procedures.


The Program Coordinator II will be knowledgeable about institutional and program policies and procedures and provides support to a large or complex program or to multiple smaller programs.


Duties and Responsibilities:

  • Provide overall administrative support to the Research Project Managers (RPMs) and Director of the Office of Research Services (ORS), and will be responsible for the daily management of the ORS ticketing system and the Research411 Portal. The portal is a central resource that allows researchers throughout the Mount Sinai Health System to submit requests for support services or general questions about the process of conducting research. The role will provide oversight of and responses to queries and ongoing standing and on demand reporting of metrics.
  • Assists RPMs with specific projects to include registration and reporting, research roadmap website building and maintenance, research recruitment, multi-site study support, and new and unanticipated projects as needed.
  • Monitor the workflows and make adjustments to ensure the timely completion of program support activities. Provides and/or arranges staff training as needed, if applicable.
  • Acts as a liaison with staff in other departments to coordinate program activities and training; to accomplish program objectives; and to ensure cooperative efforts are enhanced and available resources are utilized.
  • Assists in monitoring and evaluating program effectiveness; demonstrates continuous efforts to improve support operations and systems, to streamline work processes and to increase the effectiveness and efficiency of the program.
  • Program Specific Responsibilities: System Support Analysis
    • Provides technical assistance, support, ongoing maintenance and system development within the ORS for existing and new applications, such as Jira, Wordpress, Lyris, institutional and desktop computing and server environments.
    • Work with research and hospital IT to trouble shoot system setup, support and services issues.
    • Ensure maintenance of the ORS computing environment and creation of data extraction and reporting. Prepare extracted data for analysis and prepare management reports.
    • Assist in maintaining security accounts and authorized access, including password resets and the creation of new accounts as needed.
    • Other tasks as required and determined by RPM and Director.

Knowledge of HTML, familiarity with current tools and trends in digital marketing, and an understanding of social media best practices are preferred.

  • Bachelor's Degree preferred; an equivalent combination of education and/or experience may substitute for the degree when the experiences are closely related to the duties of the job.
  • 3 years of experience coordinating and administrating research program activities for clinical research.
