Roles & Responsibilities:

 

The Program Manager I is responsible for the management and oversight of key administrative and operational functions that improve efficiency and quality within the Cancer Clinical Trials Office (CCTO). The Program Manager I will be the primary resource for staff and physicians in administrative activities including key committee work, ongoing process improvement, performance metrics and dashboard reporting, policies and procedures, communications and new employee orientation for CCTO staff.

 

The Program manager will report to the Executive Director of Clinical Research Administration. 

 
 

Duties and Responsibilities:

  • Assist the Executive Director in developing goals and objectives for CCTO based on the direction of Tisch Cancer Institute (TCI) senior leadership.
  • Manage effective operations of the department through program development, process improvement and coordination/integration of processes with other departments.
  • Staff the Cancer Clinical Trials Office Committee Meeting.
  • Work with CCTO Senior Staff to create workflows across clinical trial continuum.
  • Work with CCTO Senior Leadership to develop tracking tools, performance metrics and dash board reporting.
  • Manage and oversee development and maintenance of targeted orientation, quality assurance and training and education programs for staff and investigators.
  • Assist our operations division in select HR functions for the CCTO including obtaining and ensuring the completion of HR related paperwork, and onboarding activities.
  • Create an organizational culture (both within and across departments) that provides a safe, satisfying and enriching environment for employees.
Additional Duties:


Clinical Research Operations and Administration


Under the guidance and oversight of senior leadership, manage advanced administrative, operational, and programmatic support in the following areas:

  • Consistently implement and manage performance goals based on CCTO plans and forecasts
  • As directed by the Executive Director, initiate changes in or develop and implement new standard operating policies, procedures and/or methods
  • Maintain organized systems for tracking status of projects and meeting deadlines; develop, implement and maintain performance and metric monitoring and reporting; evaluate overall workloads, priorities, and activity schedules to meet TCI requirements
  • Provide executive level administrative support to the Cancer Clinical Trials Office for the CCTO Committee; draft agenda, coordinate presentations and meeting materials, create minutes and provide timely follow up
  • Develop tracking tools to manage timely communication to investigators, external sponsors
  • Interface with Disease Teams, pharmacy, IRB, biostatistics, quality, CTMS /informatics teams as needed for operational excellence
  • Collaborate with CCTO managers to design, implement and maintain quality processes for the timely start-up of clinical trials
  • Ensure the provision of timely operational information to management and disease teams
 
Education and Training


Manage and collaborate with trainers and educators on all aspects of research education related to operations, quality assurance and overarching activities as it relates to study start-up through close-out for new and existing CCTO employees assuring the overall program addresses the following aspects:

  • Basic and advanced clinical research education sessions
  • Development of learning aids such as self-study guides, demonstration models, multimedia visual aids, computer tutorials and reference materials to educate and train applicable staff
  • Develop workflows for budgeting and contracting, study start-up, monitoring and close-out
  • Develop standardized expectations for continuing education for staff
  • Support an environment that encourages and supports self-development and learning for all staff through regular feedback
  • Assist with the qualifications and performance expectations for CCTO position/roles
  • Ensure delivery of orientation and on-going staff development/training that meets the needs of the staff in the CCTO
  • Attends training courses to maintain proficiency in auditing techniques


Relationship Management

  • With the Executive Director, prepare briefings to Senior Leadership in TCI regarding progress to date, process improvement recommendations and ongoing activities
  • Assure the CCTO, its programs, products and services are consistently presented in strong, positive images
  • Communicate within and across departments to maximize effectiveness, efficiency and information sharing


General

  • Participate in professional associations and development activities to remain informed regarding new development in the field and disseminate information to department personnel.
  • Ensure general inquiries from current and prospective patients, sponsors, and physicians are resolved expeditiously
  • Maintains a working knowledge of significant developments and trends in the Clinical Research industry
 
Requirements:
  • Qualified candidates will have a Bachelor’s degree; Masters preferred
  • 7+ years research administration and/or operations experience in an NCI comprehensive cancer center
  • 5+ years oncology experience
  • Excellent communication skills, oral, written and presentation
  • Excellent organizational skills
  • Excellent problem solving skills
  • Adept in the use of computers, MS applications, etc.
  • Customer service orientation
  • Commitment to individual and team success
