Role and Responsibilities:

The Administrative Coordinator will provide administrative support to the Scientific Computing Department and to the Senior Associate Dean.  The administrative coordinator will report to the Administrative Director and will be responsible for handling day-to-day operations of the team, including finance, HR, contracts and billing, and act as the administrative point of contact between the executives and internal/external clients.

  • Answers routine and specific inquiries when possible; directs inquiries when necessary, to the appropriate department or individual for further information and/or resolution.
  • Assists in maintaining and monitoring the budge and grant allocations; prepares documents required to maintain balanced accounts for review and approval.  May assist department head in grant preparation.
  • Ensures adequate re-stock of department supplies.  Takes inventory or examines items to identify what needs to be replenished.  Requisitions merchandise from suppliers and collaborates with Purchasing to secure the best pricing.  Tracks expirations of vendor contracts and renews as needed.
  • Assists in the planning and logistical arrangements for forums, conferences, seminars, meetings and/or visiting professorships.  Assists in the development and coordination of informational packets for the participants.  Transcribes and distributes minutes.
  • Develops, updates and/or revises informational flyers, brochures, leaflets and mailings.
  • Researches, locates, and compiles information for reports.  Assembles and categorizes figures for computation and calculations.  Prepares statistical reports.
  • Checks materials submitted for supervisor’s attention to ensure all relevant data, authorizations and pertinent information are included.
  • Coordinate meetings, interviews and calendar commitments for the Senior Associate Dean, Senior Directors and other team members.
  • Conducts orientation for new office staff, including on-boarding and off-boarding employees.
  • Coordinates administrative, secretarial and/or general office support coverage.
  • Creates, follows-up and tracks invoices for Scientific Computing department for creating chargebacks.
  • Provides excellent customer service to both internal and external users.  Demonstrates ability to work well with others and be customer service oriented.  Develops and sustains a level of professionalism among staff and clientele.
  • Demonstrates attention to detail and the ability to handle multiple, disparate priorities effectively.  Suggests more efficient ways to run the office.
  • Responds promptly to managers’ queries.
  • Other general duties as assigned by the department head as need arises
  • Bachelor’s degree preferred
  • Minimum of five years of administrative experience working closely with a department head/chair or equivalent combination of education and experience.
  • Excellent knowledge of MS Office.
  • Strong communications skills (via phone, email and in-person).
  • Experience exercising discretion and confidentiality with sensitive company information
