Job Title: Facilities Manager – Property Manager for Ambulatory Facilities
Roles & Responsibilities:
Performs a group of detailed and diverse real estate property management and administrative functions related to organizing, maintaining and updating various records for Human Resources, Risk Management, Procurement and Real Estate contracted Management Group. Reports to V.P. Real Estate and Associate Director, as required
  • Assists the V.P. of Real Estate and Associate Director as required in various Real Estate projects and special assignments as well as arranging important meetings.
  • Provides property management support for satellite administrative and medical offices
  • Effectively communicates with customers, vendors and other departments and agencies.
  • Develops and updates various office templates and forms for Senior Management Committee meetings.
  • Maintains library of current Certificates of Insurance for various Real Estate satellite properties as well as vendor contracts.
  • Creates, maintains/updates Real Estate special project purchase orders.
  • Liaise with procurement to investigate and resolve complex problems associated with outside vendor documentation.
  • Research procurement GEAC database application to resolve vendor payments.
  • Serves as administrator for the Human Resource database applications. Initiates all employee transactions on HRTS including transfers, terminations and salary increases for 32B/J building staff.
  • Coordinates with Human Resources Recruitment and contracted Property Management Group on inputting corrected or adjusted information in the IGreentree Recruitment System and HRTS for all building staff (i.e. performance appraisals and new hires).
  • Maintains open communications with leased satellite facilities in troubleshooting property management/facilities issues.
  • Maintains notary certification in order to officially witness signatures on legal real estate documents.
  • Prepares Real Estate Power Point presentations.
  • Bachelors Degree
  • 5 years real estate office experience
