The Grants Coordinator provides support for the daily operations of all grants and administrative activities for one or more faculty members (Principal Investigators) within the Tisch Cancer Institute, Division of Hematology/Medical Oncology. The individual will assist the Principal Investigator in the preparation and submission of all Federal, State, Foundation grants and contract applications. Additional duties include routine expense/transaction requests, and other operational tasks - such as ordering of laboratory supplies, ordering of animals, HR duties for laboratory members, budget preparation, general ledgers, running statistical reports in conjunction with our Grants Manager, scheduling of meetings, and calendar management.
The Tisch Cancer Institute (TCI) is a vital component of the Icahn School of Medicine at Mount Sinai Hospital and plays a key role in the Mount Sinai Health System, which is one of the largest health care systems in the nation. We are a National Cancer Institute (NCI)-designated center and provide a multidisciplinary approach to cancer treatments and clinical breakthroughs that may one day put an end to cancer.
Duties and Responsibilities:
- Under general supervision, assist in the preparation and submission of Federal, State and Foundation grants and contract applications; monitor and track grant submission deadlines.
- Responsible for all aspects of data collection and pertinent data for the submission of new grant proposals and non-competitive renewals.
- Liaison among appropriate principle investigators, consultants, sub-contractors, departmental and institutional Grants Administrator/Managers to facilitate the process.
- May assist with pre-award budget development; assembles and categorizes figures for computation and calculations. Assists the Grants Administrator/Manager in preparing statistical reports using the general ledger.
- Reviews grant and contract proposals and expenditures prior to submissions for accuracy, completeness, compliance with all applicable policies, procedures, and regulations. Ensures files are complete and follows-up with investigators and/or administrators regarding missing information.
- Upload documentation to InfoEd ensuring that the proposal is formatted, packaged, and submitted in accordance with granting agency requirements.
- Have a clear understanding of institutional policies and procedures regarding grants in order to provide support to the principle investigators.
- Tracks the status of pending applications, follows up with investigator regarding status of application.
- Create and maintain computer documentation and appropriate files of submissions, awards, and research expenditures.
- Under the supervision of the Grants Administrator/Manager, oversee monthly grant activity, monitor grant spending reports and expenditures posted to assigned grant projects.
- Support the PI by preparing and reviewing travel & business expense reports, and payment requisitions for all lab members. Reconcile accounts which require matching expenses to invoicing and documenting as appropriate.
- Ensure the proper fund account numbers are charged for all purchases. Reviews and prepares expenditure corrections as needed.
- Serves as liaison to Grants & Contracts Office, Sponsored Projects and other collaborating departments to ensure grants are being properly managed.
- Help to resolve administrative problems and/or budget changes occurring during the awarded granting period.
- On behalf of the PIs, maintains the employee files for all laboratory members and ensure compliance with regulatory standards. Track PTO time for lab personnel and generates quarterly reports for TCI Administration.
- Routinely update principal investigator biographical sketch which includes (but is not limited to) adding grants as they are awarded, journals and articles as papers are written.
- Schedule lab/group/individual meetings with Principal Investigators (PI) as required.
- Attend lab meetings, take notes on outstanding items and follow up with lab members to ensure completion of tasks.
- Make travel arrangements and accommodations. Prepares travel reimbursements and expense reports in a timely and accurate manner.
- In conjunction with the Principal Investigator design and maintain laboratory website.
- Proof read scientific publications, grants and other documents as assigned.
- Prepare check request, business expense reports, facilitate service request and non-employee reimbursement forms for the entire lab.
- Investigates, evaluates and resolves typical administrative or operational problems or situations affecting the laboratory.
- Ensures adequate restock of supplies for laboratories. Takes inventory or examines merchandise to identify items to be reordered or replenished Requisitions merchandise from supplier and collaborates with Purchasing to secure the best pricing for equipment and supplies. Tracks expiration of vendors’ contracts and renews as needed.
- Pick up and deliver mail for laboratories. Screen and prioritize incoming mail for needed action and follow up. Responds to mail where appropriate and distributes mail requiring attention to appropriate individual(s). This included sending packages on dry ice, and liquid nitrogen to other institutions.
- Performs other related duties as assigned.
- Bachelors of Science degree or equivalent combination of education, training and/or experience that demonstrates the ability to perform the duties of the position.
- 3 or more years of related experience in a medical and/or academic setting required.
- Knowledge of grants highly desirable.
- Knowledge of sponsored research including NIH, IDEATE, and IACUC highly preferred.
- Knowledge and skill in accounting and budgeting techniques desired.
- Skill in use of MAC and PC.
- MS Office Suites (Outlook, Excel, PowerPoint, Word)
