Job Title: Administrative Coordinator 

  

Roles & Responsibilities:

The Administrative Coordinator is responsible for coordinating testing, insurance authorization and scheduling of bone marrow harvests and transplants for the bone marrow transplant and multiple myeloma program. The administrative coordinator works with a team of colleagues to perform this task.

Other tasks

  • Responsible to coordinate all steps of marrow/peripheral blood stem cell (PBSC) harvest workups.
  • Interacts with patients and family to coordinate schedules
  • Contact insurance companies to initiate harvest and transplant cases. Provide relevant information to insurance companies.
  • Report back to clinicians about scheduling status and insurance status
  • Work with various departments for a patient friendly schedule and experience. Ensure that appropriate orders have been entered.
  • Collect lab results and provide to MD/clinicians for final review and signatures.
  • Maintains and completes all insurance assessment forms and agreements and ensures they are accurate for claims processing.
  • Assist with Standard Operating Procedure revisions and ensure center performance goals are met.
  • Maintains master Transplant List
  • Obtains and verifies patients’ insurance benefits, authorization and referrals information from insurance companies or private payers regarding coverage for services.
  • Communicates and informs patients of any potential patient out-of-pocket liability. May facilitate resources to bridge the gap between insurance coverage and patients’ liability.
  • Assists patients with questions or problems regarding insurance coverage and other financial matters.
  • Provide support and coverage to SCH/SCT administrative coordinator team
  • Assist manager or clinicians with any tasks identified to support the department.
  • Label and deliver specimens to lab, if necessary.
  • Maintain and submit Data log for Research Study

    Requirements:
    • Education: Bachelor's degree or equivalent combination of experience and education. i.e. HS/GED diploma plus seven years of experience.
    • Experience: 5 years related administrative or business experience required. Some supervisory experience preferred.
