Roles & Responsibilities:

The Senior Director of Practice Operations provides leadership and manages the daily activities of multiple ophthalmology practices and services. The Senior Director is responsible for quality, compliance, budgets as well as hiring and training support staff to ensure quality patient care. Previous practice management experience required to plan and accomplish strategic goals. The Department of Ophthalmology faculty practice plan has 9 offices in the NYC metro area including Brooklyn, Westchester and Long Island with over 100,000 office visits a year combined.

  • Directs, supervises, and coordinates all administrative functions and activities and in services, including practice standards and operational policies and procedures, in accordance with standards established by institutional, governmental and other regulatory bodies.
  • Partner with the Deputy Chair of Administration and Finance to evaluate clinical services and practice location opportunities and create a smooth hand-off between business development & planning to practice operations.
  • Lead the practice managers at office sites to develop and implement practice operations that provide clinical patient care of the highest quality, safety, and efficiency.
  • Undertake a key leadership role supporting all front end and back office revenue cycle processes which enable the department of ophthalmology to achieve its overall strategic and financial goals by continuing to drive best practice and optimal performance.
  • Direct teams in the development and implementation of workflows for onboarding & integrating new physicians and practices.
  • Engage key stakeholders to develop community practice provider relations, outreach, and community engagement activities promoting strong relationships with referring providers and patients.
  • Contributes to the development of division's mission, goals, policies and procedures, budget, work standards in coordination with the senior leadership team.
  • Assists in the selection, employment, development, and management of employees. Responsible for personnel policies and practices. Provides oversight of the performance appraisal process, disciplinary action, and interactions with all applicable bargaining units. Attends administrative labor grievances as requested.
  • Maintain accountability for financial performance reporting of each community practice location and develop mechanisms to alert leadership of any deviations in financial performance.
  • Work in conjunction with Department leadership to prepare budgets and monitor funding and expenditures with close attention to ensuring correct revenue and cost allocations.
  • Ensures the development and delivery of required staff training using a competency-based assessment program. Evaluate and develop staff based on job-specific competencies. Evaluates how staff resources are allocated to support business activities and revenue cycle initiatives.
  • Coordinates with senior management on monitoring clinical activities to ensure cost-effective, high-quality health care for patients consistent with the mission and resources of the hospital.
  • Interacts with medical and administrative staff to ensure compliance with standards and regulations, to include The Joint Commission and NYS/NYC Department of Health.
  • Reviews and interprets operational problems/policies to practice managers.  Resolves problems and recommends changes to senior leadership.
  • Works collaboratively with other departments regarding annual operating and capital budgets. Contributes to capital selection process to ensure purchases support operations and growth.
  • Recommends clinic facility improvements including construction, renovation and purchase of equipment. Works collaboratively with facilities staff in analyzing space allocation and facility resources to support operations. Contributes operational insight into decisions regarding short and long term space requirements.
  • Interprets faculty practice and departmental policies, objectives and operational procedures to practice managers. Resolves problems related to staffing, utilization of facilities, equipment and supplies.
  • Collaborates with leadership of Patient Financial Services on revenue cycle initiatives and operational processes with a financial impact. Evaluate the effectiveness and support of information technology applications to support operations.
  • Oversees Quality Assurance program that supports and contributes to the key elements of operational practice, including, but not limited to, financial performance indicators and patients access to the system.
  • Represents the department at public and professional meetings and conferences as requested.  Facilitates communication and ensures proper flow of information.  Participates in public relations programs.
  • Coordinates, as requested, operational committees and physician advisory committees.
  • Collects data, prepares reports, analyzes statistics, and responds to correspondence in a timely manner.
  • Supports institutional Patient Satisfaction initiative to enhance organizational performance. Demonstrates professional behavior reflective of leadership best practices.
  • Maintains professional affiliations and enhances professional development to keep pace with health care trends.
  • Handles special projects assigned by the Deputy Chair of Administration and Finance.
  • Maintains strict confidentiality.
  • Graduate degree in Business or Healthcare Administration.
  • 7-10 years experience in health administration including preferred leadership experience in a health care environment.
  • Excellent written and oral communication skills.
  • Exceptional attention to detail and accuracy.
  • Analytical and problem solving skills.
  • Managerial skills including budgeting and finance.
