Job Title: Sr. Purchasing Buyer - IT
Roles & Responsibilities:
  • Possess a cursory knowledge of computer technology (Hardware, Software & Telecom) purchasing and licensing
  • Possess basic knowledge of Software Licensing e.g. perpetual, SaaS, term, subscription, etc.
  • Possess basic knowledge of various hardware terminology & classification: desktop, laptop, server, storage, virtual machine, cores, etc.
  • Knowledgeable in basic telecommunication terminology, e.g wireless, mobile, smart phone, etc.
  • Daily processing of Information Technology (IT) requisitions in to MSHS purchase orders (approximately 3-4,000 per year) for hardware, software, licenses, service warranties, consultants, etc. in the Materials Management Information Systems (Oracle, PMM, etc.) 
  • Assist in developing SOW, volumes, timelines, etc. and/or coordinate gathering same from end-users/IT in order to formulate, send out RFPs or RFIs to identified qualified vendors, and collect, tabulate, evaluate, level, present proposals.
  • Coordinate and execute product returns, invoice discrepancies, customer service inquiries, etc. as required.
  • Act as the initial liaison with IT vendors covering purchase orders, returns, inventory, expirations, invoicing, etc.
  • Track internal and external orders on a daily basis, obtaining confirmations, and GHX systems and updating record system.  Work closely with end-users in departments, to coordinate and expedite emergency orders.
  • Proactively identify back-orders and/or discontinued items, conduct alternative searches for substitute items with alternate vendors, in the event of emergencies related to back-orders / discontinued items.  Consistently reporting status to the end user
  • Assist end-users with item queries, item additions. Updates and all general phone / e-mail inquiries. 
  • Periodically, spot audit and extract current pricing reports from purchasing systems and provide Data Integrity staff with correct pricing to upload in systems.
  • Review all requisitions/purchase orders to ensure they are in compliance with corporate purchasing policy. 
  • Periodically performs department visits to understand needs and review department activity.
  • Utilize GPO, and New York State contracts where possible to confirm that the hospital is receiving the best price possible.
  • Responsible for all tasks involved in “cradle to grave” processing/payment of purchase orders, which may include terms & conditions associated with order.
  • Responsible to monitor and document vendor performance issues and provide feedback to Sourcing.
  • Miscellaneous projects and team efforts where required.
  • College degree required.  Major in IT preferred.
  • 5-7 years. IT purchasing preferred.
  • IT Purchasing experience in a hospital or related healthcare setting
